Insurance communication is built around dates. The renewal notice, the premium change, the policy document, the claims update, the lapse warning. Each of these is time-bound, and most of them carry a regulatory or contractual weight. Sending it is not the objective. Delivering it is.

In a regulated environment a false valid is worse than an honest unknown, because you will build a process on top of it. Mailthentic does not inflate results. A catch-all domain accepts every address by design, so no verifier can confirm an individual mailbox on it. Gmail, Google Workspace, Outlook and Microsoft 365 return a 250 OK even for mailboxes that do not exist, specifically to defeat harvesting. And a temporary deferral, a 421, 450 or 451, is greylisting rather than a failure, so we retry with a backoff instead of throwing away a perfectly good policyholder address.

Frequently asked questions

Can we verify the policyholder list before a renewal cycle?
That is one of the most valuable uses of bulk verification. Upload the affected contact list as a CSV ahead of the renewal run and you get a per-row status, reason, SMTP response code and confidence score. Anyone unreachable by email can be routed to post or a phone call while there is still time to prevent the lapse.
How do you handle a temporary failure from a mail server?
A 421, 450 or 451 is greylisting, which is a temporary deferral used as an anti-spam measure. It is not evidence of a bad address. Mailthentic retries with a backoff rather than discarding the address, so a valid policyholder contact is not marked dead because a cautious server deferred the first attempt.
Why can you not confirm every address?
Because some addresses genuinely cannot be confirmed by anyone. A catch-all domain accepts mail to every address whether the mailbox exists or not. Should we block disposable addresses on our quote form?

How is policyholder data handled?

Do you flag role addresses on commercial policies?
Yes. Over 150 role prefixes are flagged, including accounts@, admin@, finance@ and office@. On a commercial policy that matters, because a shared mailbox is deliverable but is not a named individual, and a renewal notice sitting in an unattended shared inbox is functionally the same as one that bounced.
