The Problem

An ecommerce store sends two very different kinds of email from the same reputation, and both of them suffer when the list is dirty.

Transactional mail that never arrives

The order confirmation, the receipt, the shipping notice, the delivery update and the returns label all go to whatever address the customer typed at checkout. Checkout is a hostile place for data quality: people are on a phone, in a hurry, autocorrect is fighting them, and nobody proofreads an email field when they just want the thing they are buying. A single transposed character in the domain, a missing letter, a stray space, and the receipt bounces.

The customer does not blame their own typing. They open a support ticket because they never got a confirmation, or worse, they assume the order failed and buy again, or file a chargeback. Your support team now spends its day resending receipts by hand and correcting addresses in the admin panel.

Marketing mail that quietly rots

The list you built over three years of orders is not the list you have today. Between campaigns it decays constantly:

  • Work addresses die when people change jobs, and a lot of consumers do use their work address to buy things.
  • Free mailbox providers close inactive accounts, and some of those addresses are eventually recycled into spam traps.
  • Domains lapse and stop publishing mail records entirely.
  • Shoppers who only wanted the first-order discount used a disposable inbox that expired the same afternoon.

Send an abandoned cart flow or a seasonal campaign to that list and the bounce rate spikes. The mailbox providers who take that signal do not separate your marketing sends from your transactional ones if they share a domain. The reputation hit lands on the receipts too, and now order confirmations start going to spam. That is the failure mode that actually costs money, because a customer who cannot find their confirmation is a customer who contacts support, disputes the charge, or does not come back.

Why the discount code makes it worse

Every store runs a first-order incentive, and that incentive is a direct invitation to hand over a throwaway address. The signup converts, the discount is redeemed, and you are left with a permanent dead record you keep paying to store and keep mailing until it bounces you into trouble. The same pattern repeats with competition entries and giveaway forms, where the reward is immediate and the email address is disposable by design.

It is also the segment least likely to ever buy again, so you are paying your ESP to hold and mail the least valuable rows in the database.

The Solution

Mailthentic cleans the list you already have and stops new junk entering it at the point of capture.

Clean the existing list in bulk

Export the customer list from your store or your ESP and upload it as a CSV. Every address runs through the full check set:

  • Syntax: the typos and malformed input that checkout forms collect all day.
  • Domain and MX records: catches lapsed and parked domains that can no longer receive mail at all.
  • Disposable detection: a maintained set of known throwaway and temporary domains, which is exactly where your discount-code signups end up.
  • Role-based flagging: maintained prefixes such as info@ and orders@, which behave differently from a personal inbox.
  • Catch-all detection and risky or invalid detection, with a mailbox probe wherever the receiving server permits one.

Duplicates are removed before processing, so the same shopper who ordered under two casings of the same address is not charged for twice. Every result comes back with the status, the reason, the SMTP response code and a confidence score, so you can suppress the invalid, quarantine the risky and keep mailing the good.

Stop it at checkout and at signup

Call the real-time API from the newsletter popup and the checkout email field. An address with broken syntax or a dead domain can be flagged while the shopper is still on the page, which is the only moment a typo can actually be fixed. A disposable domain can be rejected on the discount signup, so the incentive goes to real customers.

What we will not pretend to know

A large share of your customers are on Gmail, Google Workspace, Outlook or Microsoft 365. Those servers return 250 OK even for addresses that do not exist, on purpose, to defeat harvesting. The mailbox cannot be confirmed by SMTP and we say so instead of inventing a green tick. Catch-all domains accept every address by design, so no verifier can confirm an individual mailbox behind one, and we label them catch-all rather than valid. You get an honest picture, which is the only kind you can safely act on.

Greylisting deferrals (421, 450, 451) are temporary, not failures, so Mailthentic retries with a backoff rather than throwing away a paying customer.

Keep the store and the CRM in sync

Connect Brevo, HubSpot, Salesforce, Mailchimp or PlusVibe, pull the list, verify it and push the verdicts back so suppression happens where the sending happens. Frequently asked questions

How often should an ecommerce list be cleaned?
Lists decay continuously as people change jobs, abandon mailboxes and let domains lapse, so a clean before every significant campaign is a reasonable rhythm, with a full pass whenever you are about to reactivate customers you have not mailed in a long time. Verifying at capture keeps the drift smaller between passes.
Will bad marketing addresses really affect my order confirmations?
If they send from the same domain, yes. Mailbox providers judge the domain and the sending IP. Bounces generated by a campaign make the receiving provider stricter with everything from that domain, including the receipt the customer is waiting for.
Can I verify the email a shopper types at checkout?
Yes, with the real-time API. Malformed syntax, a domain that does not resolve and a domain with no mail records can be caught while the shopper is still in the form, which is the only point at which a typo is genuinely fixable.
Most of my customers are on Gmail. Can you confirm those addresses?
No, and no verifier can. Gmail, Google Workspace, Outlook and Microsoft 365 return 250 OK even for addresses that do not exist, to prevent harvesting. Mailthentic reports the mailbox as unconfirmed rather than guessing. The syntax, domain and disposable checks still apply and still catch real problems.
What do I do with the addresses marked catch-all?
A catch-all domain accepts everything it is offered, so the individual mailbox cannot be confirmed by anyone. Treat them as a separate segment: many stores keep mailing them but watch the engagement, and suppress the ones that never open across several campaigns.
Am I charged for duplicate addresses in the export?
No. Duplicates are removed before processing. Store exports are full of them, so the count you are billed for is usually smaller than the row count in your CSV.
