The most defensible model has a conservative base case, an expected case, and a sensitivity range. It shows each assumption and keeps hard savings separate from risk estimates.
Start with the decision the model must support
A buyer evaluating a recurring verification workflow needs a different model from a team preparing one migration. Define the period, list sources, verification checkpoint, expected volume, and alternative. The alternative may be sending without a check, manually reviewing errors, or continuing with the current provider.

Calculate verification cost
Use total incremental cost for the period. Include purchased credits or subscription allocation, engineering work, operations review, and any integration maintenance that exists only because of the workflow. Exclude sunk costs that do not change with the decision.
A simple expression is: verification program cost = checking cost + incremental implementation cost + review labor. For an existing integration, implementation cost may be close to zero for the next campaign. For a new API deployment, it may dominate the first period and should be spread across a realistic useful horizon rather than hidden.
Estimate avoided send cost conservatively
Multiply the addresses actually excluded from a send by the marginal cost of sending to one more recipient. If the email platform charges in contact tiers rather than per message, distinguish immediate cash savings from capacity preserved before the next tier.
Avoided send cost = excluded send-eligible addresses x sends in period x marginal cost per send. Do not include opted-out contacts in this benefit if they would already have been excluded without verification. Do not count every risky or unknown record as avoided waste.
Model bounce-related operational savings
Avoided hard bounces can reduce processing, investigation, and repeated cleanup work. Use actual historical effort where possible. If your team spends time reconciling bounce exports, correcting CRM records, and handling automated failures, measure the time per event and the number of events plausibly avoided.
Bounce operations saving = avoided qualifying bounce events x measured handling cost per event. Keep sender-reputation risk in a separate scenario line. Verification can reduce avoidable bad addresses, but it cannot prevent bounces caused by later mailbox changes, sender policy, content, reputation, or receiver conditions. Include CRM storage only when it changes cost or capacity
Some platforms charge by stored or marketable contact tiers. Suppressing an unusable email may preserve capacity, but retaining a non-marketable company or customer record can still be valuable. Determine exactly which destination count affects billing.
CRM value = tier cost avoided or deferred + measured admin work avoided. If cleanup does not cross a tier, record capacity preserved rather than claiming immediate savings. Never delete records solely to make this line larger.
Value sales activity with measured workflow data
An invalid or mistyped address can cause a rep to research, retry, and update a record. Measure that work through a sample instead of assuming every excluded contact would consume a full sales cycle.
Sales time saving = qualifying records x average avoidable minutes x loaded hourly cost divided by 60. Reduce the qualifying-record assumption in the base case. Some records would have been abandoned automatically or corrected through another channel.
Count deduplication without double counting
Mailthentic processes each unique normalized address once per bulk job. This can avoid repeated verification work within that job. Your source may still need every duplicate row for audit, account, or consent reasons.
Count a deduplication benefit only if the alternative would have incurred a real marginal cost or staff action. Do not add both avoided verification spend and avoided send spend when duplicate rows would already have been deduplicated by the sending platform.
Calculate cost per usable contact
This metric is useful when comparing sources or workflows:
Cost per usable contact = total acquisition and verification cost divided by contacts approved for the intended use.
“Usable” must include consent, source, suppression, and campaign policy, not merely a valid verification bucket. Compare cohorts with the same definition. A cheap source can be expensive when few records qualify after review.
Calculate cost per protected campaign
For periodic bulk verification, divide program cost by the number of campaigns whose final audiences used the reviewed results. This describes the operational investment allocated to each campaign. It does not prove that verification alone protected reputation or caused revenue.
Cost per protected campaign = verification program cost allocated to the period divided by campaigns using the decision file. Add audience size beside the metric so a small send and a large send are not treated as equivalent.
Build monthly and annual views
A monthly view catches source changes and operating costs. An annual view captures implementation amortization, seasonality, pricing tiers, and campaigns that occur less often. Do not multiply one unusual month by twelve without adjustment.
For the annual model, forecast volumes by month, apply current pricing logic, include maintenance, and vary invalid and retry rates by source. Reconcile forecast with actual invoices and result counts each month.
Work through an illustrative example
Assume a team has N unique permission-based addresses, pays V for verification, identifies I addresses that policy excludes, plans S sends, and pays a marginal send cost of C. Let measured operations saving be O, CRM value be R, and conservative sales-time saving be T.
Total quantified benefit = (I x S x C) + O + R + T.
Net benefit = total quantified benefit minus V and other incremental program cost.
ROI percentage = net benefit divided by total program cost, multiplied by 100.
Keep reputation exposure as a narrative or sensitivity scenario unless you have an approved, evidence-based financial method. Replace every letter with your own documented value. This example intentionally avoids invented prices and a universal result.
Use three scenarios
- Conservative: include only direct checking cost, clear excluded sends, and measured labor.
- Expected: use the central estimates supported by several comparable periods.
- Upper sensitivity: test higher volume, tier avoidance, or staff impact without presenting it as promised value.
Show which variables change the outcome most. If ROI depends entirely on an assumed reputation value, the operational case needs stronger evidence.
Why the lowest advertised rate can cost more
A low unit price is only one input. Compare the number of unique addresses billed, how uncertain results are represented, supported file and export workflows, API access requirements, review effort, and integration maintenance. A result that forces extensive manual reconciliation can raise effective cost. A plan that does not fit actual volume can also change the unit economics.
